Removing Duplicates & Invalid Addresses in Exported Data

When you’re prospecting for land deals, clean and accurate data saves you both time and money.

Land Portal’s export tool lets you remove duplicate owners and filter out invalid (empty) mailing addresses before downloading your file, helping you focus on high-quality leads from the start.

Step-by-Step Walkthrough

Step 1: Set Your Filters

    • In this example: Macon County, Georgia → Vacant Land → 2–5 acres.
    • Adjust any other criteria you need for your search.
    • Click Apply at the bottom of the Filters panel to generate your list.

Step 2: Open the Export window

  • Click Export at the bottom of the Filtered Search.

Step 3: Name Your File & Choose Delivery Options

  • Enter a descriptive File Name (e.g. Macon Georgia, 2-5 Acres)
  • (Optional) Check the Send to Email box if you want the file to arrive directly in your inbox.
  • Your file will also be saved under Order History for future access.

Step 4: Review Your Initial Item Count

  • You’ll see the number of items currently selected.
  • In our example, the initial total is 253 (before applying any export criteria).

Step 5: Remove Duplicates

  • Check the Remove Duplicates box.
  • You’ll see the item count drop (e.g., 253 → 207).
  • What this means: if one owner holds multiple parcels (say 5), the export will include a single record for that owner, the parcel with the largest acreage.

Step 6: (Optional) Remove Empty Mailing Addresses

  • Check Remove Data with Empty Mailing Addresses to exclude records without a deliverable address.
  • In our example, the count drops further 207 → 193.
  • Use this option if you only want valid mailing addresses for direct-mail campaigns.

Step 7: (Optional) Skip Trace Your List

  • Before confirming your order, you’ll see an option to Skip Trace at a discounted rate.
  • This allows you to gather phone numbers and other contact information for the property owners after exporting, saving time and ensuring accuracy.

Step 8: Confirm Pricing

  • The price per record updates automatically based on your final item count and your subscription plan:
    • Pro: includes 20,000 free exports per month.
    • Enterprise: unlimited exports.
  • Your total updates in real time before placing your order.

Step 9: Download Your File

  • Click Place Order.
  • You can download immediately from the confirmation window or return to Order History anytime to re-download your export.

Tips & Best Practices

  • Name files consistently (county, state, property type, acreage, date) to stay organized.
  • Compare counts (e.g., 253 → 207 → 193) to see exactly how much your data was refined.
  • Consider using Skip Trace on exports that need phone numbers for follow-up marketing or outreach campaigns.
